Purpose. The controlled layout for every quotation issued by Design and Estimating, so that customers receive a consistent, complete and legally sound offer.

1.Purpose

A quotation is an offer that the customer can accept and rely on. This template ensures every quote states the scope, the price, the inclusions and exclusions, the lead time and the terms. Quotes must be produced from this template and never as a free-form email.

2.Scope and specification

Describe the product room by room or item by item: carcass material and colour, door style and finish, benchtop, hardware brand and model, handles, glass type and thickness, fabric or leather, and foam grade. Reference the drawing numbers and revision. Anything not listed is excluded, and the exclusions section must say so plainly.

3.Pricing

Show the price for each item or room and the total including GST. Where a provisional sum is used, for example for a benchtop yet to be selected, label it as provisional. State the deposit, progress payment on delivery and final payment on completion.

4.Lead time and validity

State the production lead time from drawing approval and deposit, and the installation window. The quote is valid for 30 days. Material price rises after that date will be passed on at cost.

5.Terms and warranty

Include the standard terms, the warranty statement from the quality policy and the consumer guarantee statement required under the Australian Consumer Law. Variations after acceptance are priced separately and must be accepted in writing.

6.Acceptance

Provide space for the customer to sign and date, and for the estimator's name. On acceptance the quote is converted to a job order under the job order workflow procedure.
